Privacy policy

Effective Date: March 11, 2025

At Kinami Health, we are committed to protecting and respecting the privacy of our customers. This Privacy Policy explains how we collect, use, disclose and protect your personal information when you visit our website and use our services in Canada. It is designed to meet the requirements of the Personal Information Protection and Electronic Documents Act (PIPEDA) and, for customers in Quebec, the Act respecting the protection of personal information in the private sector as amended by Law 25.

1. Information We Collect

We collect personal information that you provide directly to us when you create an account, place an order or use our services. This may include your name, the name of your clinic or business, your professional licence information, delivery and billing addresses, email address, phone number and payment information.

Your mobile phone number, if provided, will be used solely to facilitate transactional communications related to your orders and account activity on kinamihealth.com – such as order confirmations and shipping updates. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. You may opt out of SMS communications at any time by replying STOP to any message or by contacting us at [email protected] or +44 7488 890499.

2. Consent

We collect, use and disclose your personal information with your consent, or as permitted or required by law. By creating an account or placing an order, you consent to the uses described in this policy that are necessary to provide our services. You may withdraw your consent at any time, subject to legal or contractual restrictions; if you do, we may no longer be able to process your orders.

3. Use of Personal Information

The information we collect is used to verify your eligibility as a licensed professional or business buyer, process and deliver your orders, calculate applicable taxes, provide customer service and improve our website.

We send promotional emails or newsletters only if you have consented to receive them, in accordance with Canada’s Anti-Spam Legislation (CASL). You may unsubscribe at any time by following the instructions in our emails.

4. Sharing of Information

We may share your personal information with third-party service providers who assist us with fulfilling orders, processing payments and delivering products or services to you. These service providers are contractually required to protect your personal information and may only use it for the purposes for which it was provided.

In certain circumstances, we may be required to disclose personal information to comply with legal obligations, resolve disputes or enforce agreements. We do not sell your personal information.

5. Storage and Transfers Outside Canada

Kinami Health is based in Malta, and some of our service providers are located outside Canada. Your personal information may therefore be stored or processed outside Canada, including in the European Union. Personal information transferred outside Canada is subject to the laws of the country where it is held and may be accessible to the authorities of that country. Before transferring personal information outside Quebec, we assess whether it will receive adequate protection, as required by Quebec law.

6. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to operate our website and improve your experience. Non-essential cookies are only activated with your consent. You can manage or disable cookies through our cookie banner or your browser settings, but doing so may limit your ability to use some features of our website. For details, see our Cookies Policy.

7. Security

We take appropriate security measures to protect your personal information from loss, theft and unauthorized access, use, alteration or destruction. For sensitive transactions, such as credit card payments, we use encryption technologies (such as SSL/TLS) to secure your data. If a confidentiality incident presents a risk of serious harm, we will notify the affected individuals and the relevant privacy authorities as required by law.

8. Your Rights

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you
  • Request the correction of inaccurate or incomplete information
  • Withdraw your consent to certain uses of your information
  • Request the deletion of your information when it is no longer necessary for the purposes for which it was collected
  • In Quebec, request that computerized personal information you provided be communicated to you, or to a person you designate, in a structured, commonly used technological format

You can update some information directly in your account settings. For any other request, contact our Privacy Officer (see section 12). We will respond within 30 days.

9. Retention of Personal Information

We retain your personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law (for example, tax and accounting obligations). Once your information is no longer needed, we securely destroy or anonymize it.

10. Third-Party Links

Our website may contain links to other websites that are not controlled by us. We are not responsible for the privacy practices or the content of these external websites, and we encourage you to review their privacy policies.

11. Children's Privacy

Our services are intended for licensed professionals and businesses and are not intended for individuals under the age of majority in their province or territory. We do not knowingly collect personal information from minors. If we learn that we have collected such information, we will delete it.

12. Privacy Officer and Contact
